MEETING MINUTES 7/22/2025

Present: Robby Rosselli, Kelly Duchsherer, Holly Johnson, Rick Huber, Scott Joern, & Wayne Johnson. Meeting called to order at 7:05pm. Justin Medler arrived at 7:09pm.

Guests

  1. JB Schwartz is observing meetings and has expressed interest in running for open Board positions this fall. 
  2. Trever Haas called Justin Medler expressing interest in filling the Race Director position vacated at the 7/15/2025 Board Meeting by Bruce Rudland. Trever is willing to do this on a short-term basis until the Board finds a more permanent replacement. 
    • Discussion occurred about supporting Trever and Scott Joern, along with Justin and Jeff Barta, to all cover the duties of Race Director. All board members were in unanimous agreement for Trever and Scott to fill the first two weeks upon returning in August. 
    • Trever indicated he would donate his paycheck for this back to the club, and wasn’t interested in being compensated at this time. Scott also indicated he wasn’t necessarily interested in being compensated at this time either. For the 2 week trial period, we will not be paying either person the Race Director pay. 
    • Robby Rosselli may be able to cover the last two weeks of August as Race Director. 

Minutes: The July 15, 2025 meeting minutes were presented and motion with second to accept as written. All in favor. Motion carried. 

Treasurer’s Report: The Treasurer’s Report was presented for discussion and review. Motion with second to approve/pay the bills. All in favor. Motion carried. 

  • DEPOSITS: Total = $419.61
  • BILLS TO APPROVE/PENDING: Total = $4,652
  • DEMO DERBY PURSE PAID OUT: Total = $20,750.00 on 7/21 for 44 cars
  • Receipts were given to Kelly by Wayne on items purchased for track equipment repairs.
  • Additional deposits will be made this week equalling $7,792.15 from the following items:
    • $1000.00 for DCMT sponsorship
    • $780.00 for DCMT shirt sales
    • $700.00 for signboard
    • $2000.00 for WOO ticket sales
    • $3312.15 from Demo Derby pit trailer

Old Business:  

  1. 2025 Sponsorships: outstanding/unpaid invoices were reviewed.
  2. All-Stars of August $4K to Win Series
    • Fury Energy Hard Charger coolers are being made. 
    • Ben Dethridge made a news post about this event.
    • Holly still needs to finish posters. 
    • Fireworks location – Holly never did get DCMT fireworks from N83. Justin said he will contact Rick Vondal to discuss fireworks for All-Stars specials. 
    • August 10th – Optimum Ag sprayer for pace truck. 
  3. Motor Magic (August 29-31, 2025)
    • Sport Compact pay $1200 purse vs. $4K purse vs. Silver Dollar/Huset’s $3K purse (tabled from 7/15). Discussion occurred on what payout scheme makes the most sense for the event. Motion to double the Sport Compact regular payout like the other classes have for Motor Magic was made. This would equal $2,260 for the Sport Compact purse. Motion seconded. All in favor. Motion carried. 
  4. INEX Legends Winter Nationals & NOSA Sprints (Oct 9-11, 2025)
    • Pit stalls – Holly to make map and Square items to purchase. Justin said he got another call about pits. This is priority.
  5. Banquet/General Election (October 25-26, 2025)
  6. Miscellaneous
    • Limp Bizkit – Scott has everything covered. List of 20 volunteers emailed to Daryl.
    • Williston Basin Heavy Hitch rental – did not bring check to Demo Derby
    • Directors & Officers Liability Insurance Quote/Bonded – Kelly provided policy quote. Annual premium would be $1608, or approx. $134/month. Motioned with second to purchase was made. All in favor. Motion carried. 
    • Minor Release form from Lowe’s need to be finished by the time we return in August. 

New Business:

  1. Early discussion has started to occur about WOO Sprint Cars returning to Nodak Speedway. 
  2. Papa’s Powerwheels will be scheduled for August 10th. 
  3. Improving appearance of orange wrecker truck – Scott has a person who is excellent at polishing vehicles. Justin indicated that he’s working with Wyatt Olson to get some of those track equipment items wrapped with new vinyl. 

Next Meeting: The next board meeting will tentatively be on Tuesday, July 29, 2025 at 7:00pm at the track.

Executive Meeting called to order at 8:06pm to discuss year-end awards. The Executive Meeting ended at 9:03pm.  

MEETING MINUTES 7/15/2025

Minutes: The July 1, 2025 meeting minutes were presented and motioned with second to accept as written by. All in favor. Motion carried. 

Treasurer’s Report: The Treasurer’s Report was presented for discussion and review. 

  1. Selling DCMT tour shirts from our stock. Taken to Dacotah Speedway for the final night of the tour. They are listed online to sell. 
  2. P/L for 6/29/2025 and 7/4/2025 were presented and reviewed. 
  3. Board member submitted more bills/receipts for the water truck repair. 

Motion with second by to approve/pay the bills. All in favor. Motion carried. 

Race Weekend Recap:

  • WOO Late Models
    • Great feedback, including compliments from World of Outlaw themselves, as well as drivers, Snapchat
    • Equipment broke down right before the event.
    • To improve:
      • have kids tickets prices,
      • pit pass different price than grandstand tickets,
      • having presale of tickets,
      • family pack of tickets,
      • presale on MRP only 
  • July 4th
    • Minot Daily Newspaper incorrectly printed that this racenight was free admission. Called our contact there to redact it/correct it on other news formats. 
    • Drag strip member was trying to shut down us exiting using the drag strip, targeting two younger volunteers. 
  • Dakota Classic Modified Tour Night 2 – rainout
    • Cancelled as decided by unanimous vote of all Board Members at approx. 3:00pm due to track conditions, pit conditions, and racing surface risk to safety of the drivers. The track was wet and had windrows around the bottom in attempts to dry out the top few inches of the track, and the pits were very muddy. Weather apps indicated anywhere from 15-83% chance of rain that evening. 

Old Business:  

  1. 2025 Sponsorships: Spreadsheet updated with checks received, proposals delivered, and other businesses who showed interest.) Bullet Transmission / American Truck & Trailer Rainout rescheduled to August 3rd.
  2. All-Stars of August $4K to Win Series
    • Reuse the DCMT trophies for this class. 
    • Make posters for each weekend in August (Holly). 
    • Justin will send Holly the MRP running order.
      1. Pill redraw for the special class. 
      2. 30 laps mods and stocks, 25 sportmods and hobbies
      3. 10 lap heats, even number of heat races, 12 car starts
      4. Redraw (heat race winners + top 4 passing points)
      5. 15 lap B-mains
      6. 24 start feature, no payout if you don’t start. 
  3. INEX Legends Winter Nationals & NOSA Sprints (Oct 9-11, 2025)
    • Reserve pit stalls – Sprints on east side, sell pit stalls for $100/each for the weekend for Legends drivers only
    • Discussion occurred on if it’s same payout for NOSA this weekend as it was May 4th, 2025.
  4. Miscellaneous
    • Limp Bizkit concert – 18 people needed, aim for 20. Email Daryl list of names and phone numbers before the event. Scott will spearhead, and agreement from Justin. Arrive 5:30pm. 
    • ND State Parade – Float #55, line up at 8:30am by Town & Country Shopping Center, first trailer will be champions for Nodak Race Club, 2nd trailer will be HOF with Joren Boyce’s 50th Anniversary mod body and inductees. Scott made entry number signs for both vehicles. 

New Business:

  1. Demo Derby NDSF (July 21, 2025): arrive at 7am, they start teching at 8:30am; Turn 3 gate; will likely need a generator & 4-wheeler; Holly/Kelly working all day; Robby will also be there. 
  2. Motor Magic (August 29-31, 2025) – Sport Compact pay
    • Discussion occurred about having one 2-day show over Labor Day weekend occurred. 
    • Discussion about payout of a $1200 purse like last year ($8700 total purse for Sport Compact purse) vs. a member expressing frustration about Sport Compacts not having a $4K to win show. 
    • Tabled until 7/22 meeting.
  3. Discussion occurred about Track prep pay weekly.
    • One board member indicated that 20-30 hours put into track prep each week should be at a higher compensation rate than $500/week. One previous track prep employee got paid $50/hour when he did it. Another board member pointed out we didn’t make money until the WOO show and 4th of July, and increasing track prep pay would cause us to lose more week-to-week.
    • Another board member said there needs to be clear indication of what qualifies as track prep/paid employment vs. volunteering as board member. One board member thinks the entire board should be paid positions. 
    • Another board member stated they have eliminated a $8K/year expense by doing all the work they are able to manage over approx. 12-16 hours per week. Track prep employee said it’s not the pay, it’s the amount of time he spends dedicating to the track and the club that makes it difficult.
    • One board member indicated we should be looking for a track prep replacement, and that all positions should be known by more than one person.
    • One board member asked if current track prep crew didn’t do track prep, he would then still have to take complaints about track conditions as the President. One guest said he likes the way the track has been this season.
    • One board member said the volatility about posting on social media needs to stop as it adds unneeded stress for the Board as a whole. Further discussion about teamwork, not feeling like you have to tiptoe around each other, and having each others’ backs also occurred.
    • Motion made that track prep pay increases to $1000/racenight. Discussion occurred on logistics, including this employee being responsible for arranging for help with track prep week to week. Motion was seconded. 5 board members motioned in favor and one abstained. Motion passed.
  4. Race Director
    • During the track prep pay discussion, Race Director’s two pay raises over the past 11 years was brought up. Bruce ended up resigning from being Race Director.
    • Discussion for brainstorming ideas for replacement Race Director should be brought to the next Board meeting for a Board decision. Discussion on whether to even have a Race Director or give the authority back to the flagman also occurred. Tentatively, Scott Joern will substitute as Race Director on August 3rd. 
  5. Souvenir Trailer will be ordering more hoodies to replenish stock.
  6. Monday, July 28th is when we can get back on the track following the the NDSF.
  7. Unclear whether Chris Anderson will be doing Fan Zone or Minot Trending Topics for Nodak Speedway the remainder of this year. 
  8. Williston Basin Speedway wants to borrow or rent the Heavy Hitch, as requested by Dalton Flory. Motion made with second to rent it to them for $500/night (with an additional $2000 safety deposit) with the condition they replace or reimburse us for any piece of it that they break or damage. All in favor. Motion passed. Kelly will draw up an agreement.
