The January 9, 2023 minutes were presented and accepted as written by motion.

 

Treasurer’s Report

The Treasurer’s Report was presented for discussion and review. A motion and second to approve bills. Motion carried.

New Business

  1. Discussion was held regarding additional cosmetic track work that should be completed prior to the start of the race season. Justin put out an estimate of $3000 to complete the work. Justin, Rick and Robby will look into leasing/renting a bobcat/skid steer for the season.
  2. A motion and second to purchase an additional 11 month 4.16% CD at Dacotah Bank. Motion carried. 
  3. Justin attended the Minot Fireworks Association meeting with regard to the annual fireworks display. The association would like a donation from Nodak again this year. A motion and second to donate $2500 for this year’s display. Motion carried.
  4. Justin presented this year’s contract with the NDSF for review.
  5. Discussion on using six lap heats was held. Consensus by the board to bring up this topic at the next general meeting.
  6. Discussion with regard to the nightly announcers for the 2023 race season will be tabled to the next meeting.
  7. Televised announcing will now be known as Nodak Speedway.TV.
  8. A volunteer meeting will be scheduled April 2, 2023.

Motion and second to approve General Meeting minutes from October 2021. Motion carried.  

 

General Meeting Topics

  1. State of the Track
  • The big water truck will need major repairs. The tank and baffles are rusted out. American Truck and Trailer gave a cost of $13,000 for a DOT approved tank and labor costs of $5,000.
  • The Bud Light truck is unusable. The rear end needs to be replaced, the cab is completely rusted out, brakes need to be replaced as well as the steering.
  • New red, yellow, greens lights were replaced at turns one and four. Lights could be replaced at turns two and three but face away from the track.
  • Roy Miller has been working on the track the last few weeks to fix the drainage issues, and has been adding clay/dirt to improve the shape and driving surface. The clay was donated from a building site in town. To date, 40 loads have been delivered with at least another 30 loads to come.
  • Question was asked if there was going to be a barrier installed between turns three and four.
  • The barrier on the back straight away will be moved out 10-15 feet from the pit area.
  • Of the two rule changes implemented, only one was used this race season.
  1. Financial Report
  • Reporting of the year’s financials was presented for discussion.
  • Improvements/purchases from the last three years was presented.
  • Eliminated the marketing position which was a huge cost savings. The board as a whole took on this effort.
  • Have been relying on volunteers which has greatly improved the financials for the club.
  • Communication is key to improve attendance in order to keep revenue coming in.
  1. Class Discussion
  • Tentative 2023 race schedule was presented.
  • Reminder to the members that Nodak has four full time classes, two part time classes and specialty classes that are schedule 1-4 times a season.
  • Suggestion to add a sling shot class.
  1. Elections
  • There are four open positions on the Executive Board – President, Secretary, two board members. Floor open to nominations as follows:
    • President
      • Nomination and second for Roy Miller.
      • Nomination and second for Justin Medler.
    • Motion and second to close president nominations.
    • Votes counted and confirmed. Results are 24 votes for Justin Medler, 11 votes for Roy Miller.
    • Secretary
      • Nomination and second for Colleen Bertsch. There were no other nominations.
      • Motion and second to close secretary nominations.
    • 2 Year Board Position
      • Nomination and second for Scott Joern. There were no other nominations.
      • Motion and second to close 2 year board position.
    • 1 Year Board Position
      • Nomination and second for Chris Tuchsherer. There were no other nominations.
      • Motion and second to close 1 year board position.
    • Motion and second to destroy ballots. Motion carried.

Old Business

  1. Turn Nodak Pink
  • Brandon Beeter presented the check for the 2022 fundraiser to the Trinity Foundation on January 9, 2023.

 

New Business

  1. An 11 month 4.16% CD will be purchased at Dacotah Bank. 
  2. Discussion was held with regard to holding a show at Dakota Square Mall. The board agreed to pass at this time due to the cost and the light mall traffic.
  3. Hall of Fame Voting Process
  • Kady presented changes to the induction process. A motion and second accept changes as presented. Motion carried.
  1. 2023 Yearbook
  • A recommendation of having the driver information by May 31st was discussed. Kadi will work with the Hall of Fame to form a committee to make sure information needed is turned in by the proposed deadline.
  1. Military Night
    • Jeff Barta inquired about doing a Military Appreciation Night. The date for this night will be the Sunday of Memorial Day weekend. Going forward, Military Appreciation Night will be held the Sunday of Memorial Day Weekend.
  2. The club received a request from Lance Lochtowe for a donation to a benefit for the son of a friend. Four flex tickets will be donated as we are unable to access the storage unit for t-shirts, caps, etc.

Treasurer’s Report

The Treasurer’s Report was presented for discussion and review. A motion and second to approve bills. Motion carried. A motion and second to invest in a six month CD. Motion carried.

 

Old Business

  1. Turn Nodak Pink
  • Brandon will be presenting the check to Trinity Foundation on Friday, December 16, 2022.

 

New Business

  1. Sam Crowell attended to discuss the demo derby to be held in July during the ND State Fair. There will be a couple of new classes added this year.
  • Lance will have additional equipment for the track work this year.
  • A meeting the NDSF will be scheduled to iron out details as far as compensation for the track work, including setting up for the horse race the next night.
  • Motion and second to offer an $8,000 purse for the sport compact and mini van classes. Sam will cover the remaining classes. Motion carried.
  1. Kadi Ruby will continue to post the minutes to the Nodak web site. Colleen will work with her to provide the minutes.
  2. Thank You Letters
    • Letters along with two complimentary 2023 race admission tickets will be sent out prior to year-end.
  3. 2023 Marketing Partnership Packages
    • Package pricing will remain the same. For 2023, the class sponsor will be $2500 for Hobby Stocks and Sport Mods and $3000 Stock and Modifieds.
  4. July 4th Race
    • Motion and second to run four classes on July 4th, i.e. Hobby Stock, Sport Mod, Stock, Modified. Motion carried.
  5. Grandstand Family Pass
    • Scott would like to see a family pass offered. The board will consider this for future seasons.
  6. The Bottineau Race Track is interested in the water truck.
  7. A motion and second to give an Enerbase gift card to each volunteer. Motion carried.

Old Business

  1. Business radio licensing needs to be renewed prior to May 2023. The frequency has not changed and the renewal will be paid.
  2. Turn Nodak Pink
  • Brandon is in contact with Dusty at the foundation. Check presentation will be scheduled soon.
  1. Track Prep Update
  • Roy Miller updated the board on the track progress. Work to be completed is as follows:
    • Drain field work between corners two and four needs to be completed. Recommendation is to maintain a 10 foot drain field outside the wall that connects to the race surface.
    • Presently, each corner measures 85 feet. The track will be widened to accommodate the drain field and race surface entering each corner for a total surface of 95 feet.
    • All four corners will be equal.
    • Work on the wall on the south end needs to be completed.
    • Back straight away entrance grade is not correct and needs to be worked.
    • The wheel packer had a lug nut come loose and the tire came off. Needs a wheel, two tires and hub. Aiden will get pricing for repairs and the building will be checked for any tires and hub that we may have.
    • Aiden will fix the wench on the white wrecker.
    • Cultivator blew a hydraulic hose and needs to be repaired.
  1. Roy Miller presented a proposal for a Harvest Nationals Race to be held Labor Day weekend.
    • Motion and second to table discussion to the next meeting. Motion carried.
  2. Banquet Update
  • The banquet was well attended.
  1. Spring Car Show
  • Show has been scheduled for April 22 and 23, 2023.
  • Scouts will be contacted again to participate.
  • Mud racers would like to participate as well.

 

New Business

  1. QR Code Reader at Entrance
    • Need to look at downloading an app to scan the Minot Deals QR Code to ensure they are valid.
  2. Thank You Letters
    • Two complimentary 2023 race admission tickets will be included to the past season’s sponsors and businesses who donated to the banquet.
  3. 2023 Tickets
    • Scott Joern is getting the 2023 tickets printed so that they will be ready to sell for the Holidays and the Spring Car Show. The club will distribute kids tickets to each Minot elementary school, middle school, high school as well as area schools.

      • Adult Passes
    • Need to push our local drivers to adopt a neighborhood school to display their cars.
  4. Water Truck Purchase
    • Purchased a truck out of Gwinner. Need to arrange for a pick up. Check is ready for payment.
