Guests: Keli Rosselli-Sullivan, Kristi Rosselli-Sullivan, Bruce Rudland, Racelyn Rudland

Minutes: The April 15, 2025 meeting minutes were presented and motioned with second to accept as written. All in favor. Motion carried. 

Treasurer’s Report: The Treasurer’s Report was presented for discussion and review. Motion with second to approve/pay the bills. All in favor. Motion carried. 

Old Business:  

  1. Track Equipment
    • Water pump on big water truck – Wayne Johnson presented a bid for Mega (Caterpillar) water pump. He price checked at Butler and General Equipment in town. Discussion occurred on which company to purchase from, and future needs.
      • Motion made with second to purchase direct dealer and set up an account with them. All in favor. Motion carried. Treasurer will contact them to set up an account and get it ordered. 
    • Using equipment at the track – All equipment should be put back where it belongs so that it looks nice and orderly, line them up. Do not put any equipment on top of manhole covers. 
    • The hydrant in the infield was left on/malfunctioned and flooded Turn 1 & 2. If anyone waters, they need to ensure the hydrant is turned off. 
  2. 2025 Sponsorships
    • Spreadsheet updated with checks received, proposals delivered, and other businesses who showed interest. 
  3. NOSA Winged Sprints (May 4, 2025)
    • Justin will get payout breakdown, including non-qualifier payouts if needed, from Todd and will ask about obtaining W-9s for drivers.
  4. WOO Late Models (June 29, 2025)
    • Honor Guard for event. Military involvement needs to be pursued. Keli Rosselli-Sullivan is the point of contact to arrange this. 
  5. INEX Legends Winter Nationals (Oct 9-11, 2025)
    • No updates.
  6. Volunteers/Paid Employees
    • Fire & Rescue
      • Ambulance system/digital encryption radios for emergency response crew (tabled from 3/11 meeting). Beau quote for $2,552.65 for new one out of a place in Surrey. He’s asking if he wants to partial trade.
        • Discussion occurred about this and the cost of fixing issues with track equipment right now. Topic was tabled again until after the first few nights of racing are complete. 
      • Only 2 radios are open/not assigned for the year. FIre & Safety Crew could potentially use Raceivers vs. Radios (4 in total). Robby Rosselli has a few sets of radios that could work to supplement what we have. 
    • Volunteers
      • Burdick Job Corp (Addie Nelson) might have kids to help volunteer.
        • Rock picking needs to be done, as well as mechanically-abled students to work on equipment. 
      • Parolee working with track crew recently, and needs a monthly tracking verification sheet of the number of hours of community service he’s put in with us.
        • Created a verification sheet per NDCC guidelines.  
    • Announcers
      • Keli & Kristi Rosselli-Sullivan (guests): Discussion occurred about expectations of Announcers, who is responsible for what, and other general pieces of info occurred.
        • Sponsor Reads – Brandon Beeter working with new announcers, Secretary, and Treasurer to gather info for Sponsor Reads.   
        • Nodak sweatshirt to Keli for free to wear in Victory Lane. She will be gone June 15th. She is responsible for finding a replacement. Lucas Vondal is also interested in helping announce at events. 
        • Holly Johnson to put together a shell of info in a shared folder on Google Drive, with access to: Announcers, Brandon Beeter, Kelly Duchsherer
        • Have a spot for Anthem Singers (Deb Chapman is coordinating). Deb has been texting bios to Kristi for the singers. Emerson Eads is singing at WOO Late Models and Kristi is getting a bio from him. 
  7. Facebook/Webpage/MyRacePass
    • Facebook event banners have all been updated by Holly. 
    • Holly still working on updating the sponsor page on website.
    • Holly met with MyRacePass yesterday. Kelly has been test printing checks in MyRacePass. Mariah Tomlinson has helped her and Jen Rivinius has invited Kelly to come to Crow’s Nest to watch how she does Race Management. 
    • Canva use for graphics, cover photos, and HOF graphics.
      • The subscription is $300 for a year. Discussion occurred on need for this and it was decided Holly will ask Kadi Ruby to split half of the cost between the Race Club and the Hall of Fame. If not, then we will purchase ourselves. 
  8. Miscellaneous
    • iHeartRadio sold the 30 season passes. 20 more delivered to them to sell by Scott. We get the value of the full cost of the passes regardless of what he sells them for. 
    • Burdick Job Corps wanted 60 flex tickets at $10/each. 
    • Thunder Mountain Speedway request for financial contribution (tabled from 3/27 meeting). Discussion occurred regarding aspects of donation to smaller tracks vs the costs to operate Nodak Speedway. Motion with second to not donate to Thunder Mountain Speedway. All in favor. Motion carried. 
    • To Do List before Opening Weekend was discussed and updated.
      • Turn 4 is done. 
      • Packer wheels are done. 
      • Signboards are up. Waiting on 10 from Too Dark. Scott will take the lead on communicating with Jen. 
      • Pit Fence can’t be put up until auction items are removed from parking lot. All available board members need to meet on Saturday to put up at 9:30am. 
      • SRT internet was turned on in the Crow’s Nest and will be putting another router in the pit trailer for an additional $50/month. 

New Business:

  1. Non-qualifying payout clarification:
    • Did not pay B-mains in 2024. Discussion occurred on what to do for 2025, and determined we will NOT be paying non-qualifiers in 2025 on regular nights or at Motor Magic. 28 cars to start every feature, payout the same for 24-28.
      • Dakota Classic Mod Tour – PAYS non-qualifiers
      • Tougher Than Dirt Tour – need to find out from Brandon Beeter
      • NOSA Sprints – Justin will get payout breakdown from Todd and will ask about obtaining W-9s for drivers.
  2. Motor Magic Event poster – NDSF does this, has a committee, and makes the graphics
  3. Robby presented an idea he’s been working on for signage on the catwalk.
    • ‘Nodak Speedway’ sign on the catwalk or ‘Nodak Speedway The Playground of Power’. 
    • Discussion occurred on presenting this to the NDSF Board for permission, as well as selling a sponsorship to cover the cost of the signs. If allowed, it was decided that we would go with ‘Nodak Speedway’ only (not Playground of Power). 
  4. Opening Weekend – discussion occurred on whether to cancel the races now because of the weather forecast. As of right now, the Board unanimously agreed the races are still on and would only be canceled due to rain on that day.
    • Grandstand Access (NDSF) – As of today, water will be turned on in the grandstand this week. Yesterday they weren’t sure it would be able to be turned on in time for Opening Weekend.
    • Scott Joern to get 6 combination locks for gates. Justin will source the chain.
  5. Kelly ordering Nodak Speedway pens. Board members were in agreement last week on this during the track work nights. 
  6. Souvenir trailer restock was ordered through Stevick. Rick, Kelly, and Holly will finish Souvenir trailer on Thursday around 7:00pm.  
  7. Discussion occurred on expense categories in 2024. 
  8. End of Race Night Procedure Checklist was created and will continue to be developed. 

Next Meeting: The next board meeting will TENTATIVELY be on Wednesday, April 30, 2025 at 7:00pm at Staybridge Suites.
