Minutes: The March 11, 2025 meeting minutes were presented and motioned with second to accept as written. All in favor. Motion carried.

    • Continuing to work on visiting potential sponsors and partners for 2025. 
    • Spreadsheet updated with checks received, proposals delivered, and other businesses who showed interest.
  3. Car Show (April 5-6, 2025)
    • Switching to Magic Place room for space and set-up logistic reasons.
      • Four board members voted yes via text message to make this switch. Two abstained. 
    • General Meeting – Saturday, April 5th at 1:00pm
    • Raffle Car – Raffle tickets are ready to be sold. Tickets were distributed to Board of Directors to sell.

  7. Volunteers/Paid Employees
    • Volunteer prep meeting and meal will be held on 3/30/2025 at Homesteaders. 
    • Tech Inspectors – negotiated $400/night for 2025. Approved via text on 3/12/2025. All in favor.

    • Pit Trailer Title – yet to complete

      • Updated pricing in Info section to reflect current prices (last prices were from 2021).
      • Added two from the Board of Directors as full control admins of the Facebook page. 
  9. MyRacePass
    • Next subscription/annual payment will be on 5/11/2025 for $599. Upgrading to the Premium level subscription for $799 ($200 more than the Plus plan we currently have) to be able to send Push Notifications through the app, rather than relying on posting things on socials and change things within the events. Having Push Notification feature would allow this process to be more streamlined. 

New Business:

  1. Donny Schatz Racing apparel donation equaling. Club will spend $300 and a donation of more than that amount was donated for the Car Show. 
  2. 2025 Class Champions – Legends, Wingless, Slingshots
    • 5 regular classes will have Class Champions in 2025.
    • Slingshots will also have a Class Champions awarded in 2025. 
  3. Small track financial support/sponsorship was discussed per request from a local track to support them financially. Discussion was tabled. 
  4. Pits are getting more pavement put in by NDSF from pit gate to the club building. 
  5. IMCA packet received in the mail and put in the pit trailer. 

Next Meeting: The next board meeting will be on Wednesday, April 2, 2025 at 7:00pm at Staybridge Suites.

MEETING MINUTES 3/11/2025

Minutes: The March 4, 2025 meeting minutes were presented. Changes to minutes in regard to the Velocita helmet at WOO Late Models. It will be signed by WOO Late Model drivers and raffle/auctioned at our annual banquet in October. Motion and second to accept changes and approve the minutes. All in favor. Motion carried. 

Treasurer’s Report: The Treasurer’s Report was NOT presented. Treasurer not present. 

Old Business:  

  1. Track Equipment
    • RDO Blade rental 4/1/2025-10/14/2025. Rate is $97/hour.
      • Need to take photos with timestamp embedded upon picking it up.
    • Farden still has sheeps foot. Titan and Swanston sell the caps for the feet.
    • Swanston – use of Bobcat same as last year.
    • Turn 4 Panels/Fence – Will need an auger to drill holes. Wayne has a 8” skid steer attachment auger.

New Business:

  1. All titles under Nodak Speedway’s name
    • Pit Trailer to be put in Club’s name. Currently still in Ole Olson’s name, but title is signed to transfer ownership. 
  2. Ray Mock
    • April 11th, 5-7pm, Bread of Life Lutheran Church Benefit (food and silent auction). Post to Facebook about the bank account and benefit.
    • Donation bucket at Car Show: Board discussed and thinks a Pass the Helmet at one of the first nights of racing would be more profitable.
  3. General Meeting – changed to Saturday, April 5th at 1:00pm
  4. Kelly Johnson – available on Saturday for interviews
  5. Nodak Logo being updated
  6. Tech Inspectors – want $450/night in 2025 (last year was $350/night)
    • Board discussed and determined that nightly rate would be offered at $400/night due to budget
  7. Grandstand Ticket Window – same people willing to work as last year.
    • Treasurer assuming responsibility for organizing/supervising and being point of contact for all things related to ticket window.
  8. Club paperwork – work on scanning old documents electronically and storing on Google Drive. Purge whatever is no longer needed. 
  9. Facebook page access
    • Discussion occurred about who should have full control over the Nodak Speedway Facebook page vs. who would have limited control. Consensus is that the current Board of Directors would have full control, and anyone else helping with the page would have limited control. 
  10. Guest: Beau Simmons, Nodak Fire & Safety Crew
    • Medication for med bags ordered totaling approx. $80 & Fire Chemical Foam is needed for $175/bucket at Patriot Fire in Burlington.
      • Motion second to approve the purchase of these items for the fire crew. All in favor. Motion carried. 
    • Ambulance system in ND switched to digital encryption for emergency response crews to use.
      • ND had a reimbursement funding stream for this, but has been maxed out and ends March 2025. 
      • There have been times where 9-1-1 is called for something in the pits or in the stands that Beau is not aware of what’s happening. 
      • Radio: APEX 900 – $2075 new. Beau requested one portable unit for the track, and willing to get one used for approx. $1000 vs. buying new. Will likely also have a programming/setup fee. 
    • Board discussed purchase of radio and decided to readdress at a board meeting following the Car Show.

Minutes: The February 18, 2025 meeting minutes were presented and accepted as written with motion and second. All in favor. Motion carried. 

Treasurer’s Report: The Treasurer’s Report was presented for discussion and review. 

  • $25 raffle permit application fee dropped off to Auditor’s office on 2/20/2025.
  • $25 to change the combination code at the Post Office. Reimbursement to Kelly Duchsherer.
  • $700 check from Dig It Up received on 2/20/2025. 
  • $3000 check from Schatz Crossroad received on 2/20/2025.
  • $59.13 for flowers for Amanda Huber Funeral Service.
  • $360.07 to Auto Value for $360.07 for jacks.
  • $204.25 to Lowe’s Printing for 2025 Posters/All Star August Posters.
  • Received $370.88 bill from Lowe’s Printing on 3/5/2025 for WOO Tickets (5000). 
  • Received $5000 check from Gooseneck on 3/5/2025 for $5000. 
  • Received $1500 check from Butler Machinery on 3/5/2025. $1000 is for cornhole competition during WOO. $500 to fund cornhole boards. 
  • $400 check received from Tolley Fire Department for purchase of 2 grandstand passes for a raffle of theirs.

Additional Items:

  • Received note and a check issued by the club dated 7/7/2024 in the mail today, 3/5/2025 asking it get reissued. The race club does not reissue checks after 90 days. Check will be returned to sender marked void. 
  • A trailer tag renewal invoice was found in Treasurer documents. Club will not renew tags unless needed.  
  • When signatures were switched at Dacotah Bank, it was discovered that the club’s CDs were at 0.9% interest (called ‘Board Rate’), and likely auto renewed without notification from the previous Treasurer to the bank to renew at 4.0% interest rate. The CDs were redone last week for 7-months at 4.0% and the other for 13-months at 3.75%.

      • Fergus Falls is not dropping Legends at their event on the same dates. $1200 to win.

    • Registration fees for drivers (plus they pay the pit entrance fee) at TTDT, DCMT, and August Specials

    • Kristi Rosselli and Kelly Sullivan-Rosselli to be announcers for 2025 Season. Craig Heupel still interested in helping also. Paid $300/race night in 2024 for announcers together (split $150/each).

New Business:

  1. Velocita shirts for Board of Directors
    • Velocita willing to sponsor 10 shirts at no cost (normally $49/each).
    • Would need 14 shirts (2/each board member) if just for Board of Directors. Discussion occurred about pit officials/volunteers also wearing these branded shirts. Motion and second to purchase 25 shirts to start and re-evaluated at a later board meeting if more are needed. All in favor. Motion carried.
  2. Advertising Budget – club spent $5300 on TV/radio/newspaper in 2024
    • WGO Radio
      • Will be doing weekly spots like we’ve done in the past
      • Spend $5000 on advertising + spend more money to advertise specifically for WOO Late Models event.
  3. Facebook posts
    • Need to post weekly on Thursdays about Sunday night races.
    • Add Kelly Duchsherer as Admin to Facebook page. Remove access of people no longer involved with club.
  4. Ambulance services – Ambulance on site costs $200/hour. Garrison’s ambulance is $125/hour. Need an ambulance on site per contracts for NOSA Sprints on 5/4/2025 and for WOO Late Models on 6/29/2025.

    • Bill Klimpel contacted Board member to inform of April 11th fundraiser/silent auction at Bread of Life Lutheran Church. Motion and second to donate 2 grandstand passes & merchandise to Silent Auction. All in favor. Motion passed.

  6. Donny Schatz – Schatz Sprint Car and Late Model will be at the car show to promote 2025 race events. Facebook Live broadcast/interview using Kris Kelly at the car show and/or through DarnTV.
  7. Microphone for Pits – will be purchasing 1-2 cordless mics for 2025 race season
  8. Volunteer Meeting on March 30th at 2:00pm at Homesteaders. Will be provided at no cost to the club in exchange for a signboard for 2025.

  11. Accountant currently uses the desktop version of QuickBooks. Treasurer wants to use Quickbooks Online in order to streamline transactions and have access. Motion and second to have Accountant use QuickBooks Online moving forward. All in favor. Motion carried.

  • $3200 check from Circle Sanitation received 2/14/25.
  • $3000 check from Optimum Ag received 2/14/25.
  • $1652.06 invoice for fire safety crew gear ordered last year – Grand Forks Fire Equipment
  • $25 raffle permit application fee

    • Once permit is approved, paper tickets can be printed.

      • Board members to work the Nodak booth and manage sales of WOO tickets, 2025 Memberships, pit passes, grandstand passes, pit stalls.

    • Need increased insurance policy (higher coverage levels) for event.
    • Will require an ambulance (per the event contract) on site the night of the event.
  2. WOO Late Models (June 29, 2025)
    • Tickets: Paper ticket proof was presented. Need to include on the ticket the event rainout/refund policy – must send physical ticket to Club’s PO Box number. 
    • Four businesses have agreed to pre-sell tickets. 
    • Ticket sales available everywhere starting at the Car Show. 
    • Consider printing posters to hang around town indicating where people can buy their tickets. 
    • Bravera Bank willing to set up canopies and serve food. Also willing to purchase chips and salads. 
  3. INEX Legends Winter Nationals (Oct 9-11, 2025)
    • There is a Legends race in Fergus Falls the same weekend.

  1. Track Announcer – Nick Hulberg has resigned as track announcer.
  2. Flowers for Amanda Huber’s funeral at Bread of Life on Friday, 2/21/2025.
  3. Spoke to Visit Minot about support for our 2025 events.
  4. Clarion – emailed the club to inform of charging $250 for conference room for Board Meetings each week.
  5. Club will be keeping Bremer and Dacotah bank accounts open.
    • Dacotah Bank had original Articles of Incorporation from 1996.
  6. Facebook – need to start posting about Car Show
  7. Purse Payouts will occur nightly at the night of each event for the 2025 Season.

MEETING MINUTES 2/4/2025

Minutes: The January 28, 2025 meeting minutes were presented and accepted as written with motion and second. All in favor. Motion carried. 

Treasurer’s Report: The Treasurer’s Report was presented for discussion and review. No bills to approve/pending. 

  • There are 53 outstanding checks totalling $5739. 
  • Heavy Hitch deposit check was cashed.

Old Business:  

  1. Track Equipment
    • Some fence panels need maintenance.
    • Heavy Hitch to be transported for the Club in exchange for two pit stalls. 
  2. Raffle Car
    • Raffle permit completed and reviewed. Submit to Amanda.

    • Sign board pricing will increase to $700/year ($900 for initial sign board – it costs $200 to make them).

    • Discussion occurred about concerns with loan requirements, specifically with collateral.

New Business:

  1. Brekken Bachmeier Benefit – motion and second to donate two Grandstand Passes to his family to use at Silent Auction benefit on February 23. 
  2. 1099s sent to drivers are nearly illegible.
  3. Mayor Tom Ross
    • Traffic control on the 4th of July and WOO Late Model night.
    • Proclamation to kick off the race season. Events can be shared on the City’s social media. Flyers have been shared with Visit Minot. 
    • City noise ordinance updated at City Council last night – Tom Ross indicated we do not need to worry about it. 
  4. Kelly Bertsch submitted his letter of resignation as Treasurer from the Nodak Race Club and left before meeting adjourned.
    • Motion and second to accept resignation. All in favor. Motion carried. 
    • By-laws were referenced for correct process of replacing vacancy created by resignation. Motion and second to appoint Kelly Duchsherer as interim Treasurer to replace Kelly Bertsch. All in favor. Motion carried. 
  5. Bid for dirt work during NDSF given to Taylor Picard for 2025.
