MEETING MINUTES 7/1/2025

Present: Justin Medler, Robby Rosselli, Kelly Duchsherer, Holly Johnson, Rick Huber, Scott Joern, & Wayne Johnson. Meeting called to order at 7:04pm. 

Guests: Noah Schmidt

Minutes: The June 25, 2025 meeting minutes were presented and motioned with second to accept as written. All in favor. Motion carried. 

Treasurer’s Report: The Treasurer’s Report was presented for discussion and review. Motion with second to approve/pay the bills. All in favor. Motion carried. 

  • Will pay July payroll on DCMT night (7/6).
  • RDO will be set up on auto withdrawal. 
  • NDSF has not been paid facility rental fee to date. 

Race Weekend Recap:

  • Attendance = 2,864 grandstand; 636 pits; total = 3,500 (preliminary numbers)
  • 22 Late Models, 36 Modifieds
  • Positive feedback overall, a few minor complaints
  • Outstanding Tickets and money still needs to be collected from a few places.

Old Business:  

  1. 2025 Sponsorships: outstanding sponsorships were discussed as well as payments from sponsors since last meeting. Paul’s Towing rainout will move to open 8/25 Racenight sponsor.
  2. Dakota Classic Modified Tour (July 6, 2025)
    • Mod tour tickets – $20. XPressMart will not be selling tickets. 
    • Shirts – priced at $30 youth-2XL, $35 for 3XL+ by DCMT
    • Trophies in building for 4th of July and DCMT. 
    • Give leftover checks to Brandon to distribute. 
  3. Miscellaneous
    • NDSF Tear Down/Fair Break:
      • Volunteers for wall take down were identified.
      • Need totes for Souvenir Trailer from NDSF to pack merchandise Sunday after DCMT. NDSF will store it at their office to keep it secure.
    • Back pit fence for July 4th and DCMT – pull the fence out Saturday, and be ready to pull it out on July 4th if needed based on car count.
    • Tim Goodwin donation – check if he will be here on July 4h or DCMT and have 2-3 Board Members present it to him. 
    • Draw/Redraw for July 4th
    • Track prep crew expressing burnout.

New Business:

  1. Noah Schmidt (Guest): VP at Harley’s Automotive Corp. & Guardian Safety Nets (cargo nets)
    • Noah wants to help the Race Club with marketing and ways to bring big races like the WOO Late Models to Nodak Speedway more frequently. He was encouraged to observe the day-to-day operations the remainder of the season. Requested a membership. Membership after June 1st requires Board approval. Motion with second to approve his membership. All in favor. Motion carried. 
  2. Discussion occurred of gaining info on Nodak Race Club Board of Directors as paid positions. Discussion also occurred on a percentage of sponsorship being paid to the Board Member obtaining it, which has been done in the past.
  3. Marco raffle ticket sales – Penny Perdue approved to sell raffle tickets at the races
  4. Candy for ND State Fair Parade
  5. Vision Zero – road radar signs in Corner 1
  6. Dunk Tank – rental fee for $150/night, sell 3 balls for $5 to dunk Board of Directors. We would have to man it and fill it.

Old Business:  

  1. Track Equipment
    • Equipment repair discussed, and informed we will be purchasing another Big Wheels. 
  2. 2025 Sponsorships: outstanding sponsorships were discussed.
  3. WOO Late Models (June 29, 2025)
    • 17 committed drivers
    • Bismarck Radio Advertising – $720 for four days of radio advertising for the event this week, equaling 60 ads. Four Board Members indicated support for this expense via text on 6/18/2025. 
    • Grandstand tickets vs Pit Pass: Holly requested, with pit trailer volunteer support, that no exchanging grandstand ticket for pit pass after ticket has been purchased. Board agreed. Will be closing the pits to the grandstand at 4pm. 
    • Board Members’ family members get in for free. Two volunteers will get 2 Outlaw tickets for their help painting. 
    • Traffic Control for Event:
      • We have the key for the drag strip and will open up as many exits as we can. Put cones up on the drag strip to prevent going North on the drag strip. Keep the SE gate open/don’t block with trailers. 
    • XPressMart ticket WOO ticket sales (gave them 500 tickets). 
    • Wayne and Robby will tech inspect. Justin will tell Canadian tech inspectors not to come. 
    • Bravera – Robby will get a list for wristbands.
  4. Dakota Classic Modified Tour (July 6, 2025)
    • Mod tour grandstand tickets – $20/each
    • XPressMart will not be selling tickets. 
    • Kelly has reserved all required hotel rooms for DCMT personnel. 
  5. Miscellaneous
    • Justin still needs to sign for the safety deposit box. 

New Business:

  1. 2025 Memberships – Three people purchased club memberships on 6/15/2025. Transactions for memberships were processed on that day, and per club by-laws, memberships after June 1st must have board approval.
    • Approval from the Board for issuing memberships to them was granted on 6/22/2025 via text, with approval given from five Board Members. 
  2. North Dakota State Parade
    • 5k Run – approved BW logo today via email, $275 advertising fee to have our logo on the tshirts
  3. August Grandstand Ticket prices – will be same as regular season.
    • Pit Trailer for All-Stars of August: $150 driver registration for $4K to win class each Sunday in August + $30 pit fee ($180 for drivers), with $30 pit fee for other classes and pit crew. 
  4. HOF Expectations/Yearbook – Yearbooks have been ordered, however, two Board members expressed frustration with them being ordered two weeks behind schedule. Yearbooks didn’t used to be ready until the banquet in the fall, even as recently as 2015-ish. Requested that the Club does a better job communicating their expectations of the HOF. Expectation set that the yearbooks be out by the end of May; however, many factors play a role in accomplishing that (volunteers to cover Racenight duties, rain out nights, drivers’ class rotation & some classes of cars unavailable). 
  5. Question raised of whether the Board of Directors are currently bonded per by-laws. It was determined we are not currently bonded. Will research and obtain bonds. 
  6. NDSF will be using the Souvenir trailer during the fair, and will purchase totes for us to keep our merchandise in while they use it. They are also going to be storing our merchandise while our trailer is being used. 
  7. Wall/front stretch tear down after DCMT July 6th
    • Scott Joern has gotten volunteers in the past. Will ask Satrans & Dana Brandt.
    • 1 ⅛” socket on 1-1/16” wrench, ¾” bolts – Wayne can bring more impacts for us to use.
  8. During the fair break, Board will be meeting to discuss the banquet.

MEETING MINUTES 5/27/2025

Minutes: The April 29, 2025 meeting minutes were presented. Changes to minutes in regard to motion to approve and pay the bills. Added motion with second to approve the Treasurer’s Report and pay the April 29, 2025 bills. Motion with second to accept changes. All in favor. Motion carried. Minutes amended. 

Treasurer’s Report: The Treasurer’s Report was presented for discussion and review through 5/9/2025. Motion with second to approve/pay the bills. All in favor. Motion carried. 

Race Weekend Recap:

  • Double Header weekend (5/25/2025 & 5/26/2025) was discussed in regard to fan attendance, pit attendance, car counts, and profit/loss. The Sport Compact class really brings people in the stands and the pits, and costs the least amount in payouts. 12-car heats will continue as it works.
  • The Board of Directors estimated that approx. 900 fans need to be in the stands to make a profit on a Race Night.
  • Driver disqualification was mentioned. 
  • Conflicts amongst drivers was discussed:
    • One driver was given a verbal warning by a Board Member about running into another driver in the pits after the race was over.
    • Hobby Stock drivers comments on Facebook was mentioned.
    • One driver was ready to physically fight with another driver in the tech inspection area. Tech Inspectors said there wasn’t a fence to keep him out of the area.

Old Business:  

  1. Track Equipment needs and repairs were discussed.
    • Pressure washer purchased with warranty from Home Depot on 4/28/2025 with 4 board members voting to purchase and 2 board members abstaining from voting (did not vote).   
  2. 2025 Sponsorships: Spreadsheet updated with checks received, proposals delivered, and other businesses who showed interest.
  3. WOO Late Models (June 29, 2025)
    • Finalized who will be cooking the meat for the Pit Feed, at approx $500 cost to the club for meat and spices.
    • WOO & Nodak Contract states that only one photographer can be taking images during the event. This will be Scott Lovejoy.
  4. INEX Legends Winter Nationals (Oct 9-11, 2025) & NOSA Winged Sprints
    • Working with Buffalo Wild Wings and Mark Dobmeier for Fan Event in Minot.
    • NOSA will have the same $12,000 purse as we had with them on 5/4/2025. 
  5. Miscellaneous
    • Passing The Helmet for Ray Mock occurred on 5/11/2025.
    • The Board voted unanimously via text on 5/16/2025 to cancel the 5/18/2025 races due to the weather forecast. 
    • Kids Day at Get Air canceled on 5/16/2025 and rescheduled to 5/31/2025.

New Business:

  1. Digital Signboard for Advertising for WOO Late Models and Sunday night racing through Dakota Outdoor Advertising was discussed. Three Board Members indicated support via text for this purchase/expense.
  2. Paving of the pits and tech area, 2nd lift completed on 5/29/2025. On meeting date, discussion occurred about the pavement still being soft, especially with the high temps. 
  3. Fireworks Association requested 200 flex tickets with no cash contribution. Board agreed via text on 5/15/2025 to donate this amount of tickets to them.
  4. Previous/2024 Treasurer Reporting was discussed.
  5. Thank you letters from two schools in Garrison for Free Kids’ tickets delivered to schools. Robby received a Snapchat from a teacher friend of the letter distributed.
  6. Discussion about Chris Anderson’s Fan Zone occurred. 5:00pm might be too early for Fan Zone, but not sure of better time. Flex tickets were sold to him. He has hired Minot Trending Topics for advertising this and promoting the Nodak Speedway.
  7. Scott Lovejoy will not be at Nodak on 6/1/2025 due to a work commitment out of state. Discussion occurred on how impressed the Board of Directors has been with his performance, especially with posting winners the night of the event. 
  8. Kelly Duchsherer is going to be gone on 6/1/2025. Holly is covering her duties for the night. 
  9. Kelly Duchsherer is also going to be learning MyRacePass with Jen Rivinius. Holly will cover her duties just like 6/1/2025.
  10. Hometown Radio Group WOO Advertising proposal submitted to all Board of Directors via text on 5/20/2025.

MEETING MINUTES 4/29/2025

Present: Justin Medler, Robby Rosselli, Rick Huber, Scott Joern, & Wayne Johnson. Meeting called to order at 7:01pm. Kelly Duchsherer arrived at 7:28pm.

Minutes: The April 22, 2025 meeting minutes were presented and motioned with second to accept as written. All in favor. Motion carried. 

Race Weekend Recap: Discussion occurred regarding officiating and calls during Opening Weekend race nights. All guests were participating in this discussion.

  • Concerns with under what circumstances a caution flag will be thrown.
  • Getting off of the track when you have a flat tire, and not stopping on the racing surface.
  • Disqualification was discussed:
    • Requested signs indicating if you enter certain spots it is automatic disqualification.
    • Working Raceivers needed to hear instructions. 
    • No payout check when driver DNS.
  • Missing your heat race should not be put tail end of the next heat race. 
  • Inexperienced drivers need laps for experience, but causing a caution in the heat race should follow the ‘One & Done’ rule.
  • Missing the scale on the way to tech inspection.
    • Last year, announced to the top finishers a reminder to go to the tech inspection area.
    • At the pit meeting, drivers were reminded that the top 3 in the heats and top 5 in the features scale and go to tech inspection. 
    • Volunteer had heard on the radio someone say ‘everyone must scale, besides Hobby Stocks.’
    • IMCA rules indicate that a car can be scaled after being teched, as long as that car doesn’t go back to their trailer (past the pit concessions). 
    • The scale volunteer only reports to tech if there is a problem with a driver’s weight. In those cases, he goes over to the Tech Inspection Area to let the Tech Inspectors know. 
  • Green-White-Checker (Rule #36):
    • Heat races can have Caution/Checkered but feature races have to be Green/White/Checkered if the leader didn’t take the checkered flag. 
    • If the leader takes the checkered flag in the feature, it’s over. If the leader takes the white and there’s a caution, it will be Green-White-Checker. There can be one Green-White-Checker for the feature.
    • All cars must take the Green Flag to get paid. 
  • Communication Between Crews & Drivers on the Track:
    • Crew member came off the stage to check driver car/front tire for damage. All crew members need to remain in Hot Pit area to act as a pit crew member. Board Member disagreed that it’s not communicating with the driver if anyone tells them if their car is broke or not. 
    • Any Board Member needs to address if they see crew guys communicating with drivers outside of the Hot Pit area. This has been happening with other drivers.
    • Pit crew can only check racecars or communicate to a driver about a car in the Hot Pits area. 
  • Rocks/debris on the track:
    • Drivers can signal to corner judges there is something on the track. 
    • Under caution, drivers could stop on the track next to the debris to signal there is something to get. 
  • Location of Race Director during Race Event:
    • Standing on the catwalk vs. the grandstands. Discussion over what spot is best based on heat race vs. feature race occurred.  The preference of the Board of Directors is that the Race Director be in the grandstands for features in order to be able to see cars coming out of Turn 4 to the checkered flag. 
  • Discussion occurred about consistency with telling drivers who needs to go to tech inspection at the end of every race. The Board of Directors determined that the MRP Scorer (Jen Rivinius) will be the person responsible to communicate to the drivers who will need to go to the tech area. 
  • Crew members MUST remain in the roped off Hot Pit area unless they are actively working on the racecar. A Board Member said they would keep watch of crew members leaving the Hot Pit area. The Corner 1 & 2 Judge does try to watch and give warnings when able. 
  • Running double duty / two classes:
    • Drivers are allowed to park the 2nd car in the infield and swap. 
    • If a driver wins the first feature, they are to go to Victory Lane for the interview and the next feature will wait to start until they are on the track. 
  • Compliments of the efficiency of the entire race program have been heard by several board members and volunteers. There’s also been great feedback about picking up the payout check the same night. 
  • Officials need to be wearing their shirts to be easy for anyone to pick out.

      • Discussion occurred on having the grandstand tickets priced the same as the pit pass fee. 
      • 112 tickets have been recorded as sold in Square.
      • Pit Feed logistics discussed.
      • 6:00-6:10pm Ribbon Cutting with Visit Minot. 
    5. INEX Legends Winter Nationals (Oct 9-11, 2025)
      • Pursuing adding NOSA Winged Sprints to this event for the fall. 
    6. Miscellaneous
      • Bravera Bank is set up. Kelly has a debit card for herself, and also ordered checks. 
      • Joe Goldade and Tom Schraeder continue to support Nodak Speedway.
      • Two drivers will finalize purchasing their pit stalls next weekend.
      • Incorrect payout for Sport Compacts occurred (Sportmod payout schedule incorrectly input for Sport Compacts). Kelly Duchsherer is aware and has a plan to reconcile overpayment. 

    New Business:

    1. Memorial Day Weekend Double Header – Jeff Barta (guest): Honor Guard is going to be there for the National Anthem and will be on the stage. The anthem singer knows this. VFW will have MIA table. Bruce King to read MIA script and do a parade lap in his car. 
    2. Need to get more fans in the stands. Not sure radio/TV advertising pays off, as word of mouth seems to be better. 
    3. Mic system for PA System in pits is a problem. 
    4. Zip ties on the back pit fence keep getting cut by drivers.
