Meeting Minutes

Monday, March 28, 2022

Brock Beeter updated the board with the progress on the track work. Concentrating on turns three and four. They are finding a lot of gravel but will work to remove the gravel as they are working.
Power line was found under the track. They will need to dig down to bury the line deeper.
Will also build up turn four at least two feet.

The March 21, 2022 minutes were presented and accepted as written by motion.

The Treasurer’s Report was presented for discussion and review. A motion was made to approve report. Motion carried.

Water Truck Update
Talked about the water truck and he seems to think the kingpins need to be replaced but he cannot do this because he does not have the equipment. The spring shackles need to be replaced. Motion to have Jeff order the parts need to make the repairs.

Car Show
In the process of ordering hoodies and t-shirts. No preference on color, but not black.
Four vendors have registered so far.
Board will order Mugs for awards. Will need a total of seven. Nodak will be billed.
Ordered rest of the food for the banquet from Marketplace Foods based on 150 people.
Plaques are ordered from Lowe’s.
Trophies/plaques ordered for the motorcycles and snowmobiles.

Kids Night/Topless Night
Ordering LED light up toppers for the trophies for Topless Nights.

High Air Ground has been contacted about a sign board for a kids day event but have not heard back as of this date. Once we hear back from Denise Lindbo, a date will be picked for kids day.

Pricing for Pit Pass is $400 at the car show; $450 regular price. 18 punch Grandstand pass is $165 at the car show; $200 regular price.

Power Wheels Date – Sunday, May 29th and Sunday, August 28th.

Military Appreciation is also May 29th – VFW will present Color Guard; prayer will be by the DAV.

Booster Night – Motion made to hold Booster Night on Sunday, May1st. Would like to be able to hold a practice run on the track the Wednesday after the car show if the weather gets nice.

TSC / Rake
Would like to work out a deal with TSC to trade a sign board for the cost of the rake to be used to pull the rocks off the track.

Cultivator Upgrades
Tips need to be replaced. Motion to work a deal with Northern Plains Equipment to purchase replacement parts and to purchase out right if need be. Motion carried.

Sign Boards
Presented an inventory of the existing sign boards. There is a breakdown of those sponsors who have paid and those who have been contacted but not paid. There is also a list of signs that need to be replaced as well as new signs that have been ordered. After board review, the list was updated to reflect the 2022 season sponsors.

State Fair Parade
Will be participating this year as it’s Nodak’s 70th Anniversary.

The next Executive Board meeting is scheduled for April 13, 2022 at 7:00 pm at Clarion.

The March 2, 2022 and March 14, 2022 minutes were presented and accepted as written by motion

The Treasurer’s Report was presented for discussion and review. This week the bank will get the 50 outstanding checks cancelled. A motion was made to approve report. Motion carried.

Car Show
Brandon has ordered the food for the banquet. Stu, Tad, Mason and Masters are the only vendors so far.

Topless Night
Enerbase would like to sponsor this race.

Track Work
Brock Beeter wanted to let the board know that he is ready to start work on the track next week. We will pay for the use of non-Nodak equipment.

An idea was presented an idea for a premier sponsor that would allow exposure for an entire month. We would still continue to sell nightly sponsorships.

The next Executive Board meeting is scheduled for March 28, 2022 at 7:00 pm at the Kelly shop.

Meeting called to order at 7:00, Kelly Bertsch shop

The March 2, 2022 minutes were presented and accepted as written by motion

The Treasurer’s Report was presented for discussion and review. There are 50 outstanding checks from 2020 and 2021. The board agreed to stop pay the outstanding checks. Going forward a sign will be posted at the pit trailer informing drivers that checks need to be cashed by December 31, 2022. Any outstanding checks after that date will be cancelled.

Checking with High Air Ground to see if they are interested in doing something with the track.

The next Executive Board meeting is scheduled for March 21, 2022 at 7:00 pm at Kelly’s Shop.

November 29, 2021 – Board Meeting

The November 15, 2021 Minutes were presented and accepted as written by motion accepted

The Treasurer’s Report was presented for discussion and review. A motion was made, Motion carried.

Scott Cromwell was invited back to continue discussion on this event as he had reached out to NDSF with questions and that in turn has caused some confusion.
Scott’s concern was the time limit imposed by NDSF, i.e. 7:00-10:00 event time.
Time limit will only allow for 30-40 cars with tentatively two classes – Main and Compact.

Tentative format for Main will be 3 heats of 12-14 cars, one consi and a feature.
Entry fees are $100/car and driver and pit crews would be $20/person.
Purse is 1st-$3000; 2nd-$1500; 3rd-$750.
Compact class will be run as a feature.
Entry fees are $75/car and driver and pit crews would be $20/person.
Pit opens at 12:00; registration ends at 6:00; pit closes at 7:30.

Intermission is built in and filler TBD to allow drivers prep time for Main feature.
Motion to offer two Grandstand passes to Scott for his time and effort assisting Nodak with this event. Motion carried.

Drivers Meet and Greet
• Suggestion has been made to have a meet and greet one hour prior to the pit meeting once a month. Further discussion tabled to the next board meeting.
Booster Night
• All drivers are required to participate in a Booster Night.
• The opening night of racing is Booster Night and subsequent booster nights run through June 1st. Motion made, Motion carried.
• Discussion held on doing a Topless Race Night. Suggestion would be during the week so as to not take away a points night. Tabled discussion to next meeting

Executive Board meetings have been scheduled for Wednesday, December 15, 2021 and January 10, 2022 at 7:00 pm at the Clarion.

November 15, 2021 – Board Meeting

The October 24, 2021 Minutes were presented and accepted as written, motion carried

The Treasurer’s Report was presented for discussion and review. A motion was made, Motion carried.

1. Discussion continued on the track dirt replacement.

3. Travis Vollmer has agreed to look at the big water truck to ascertain what he can fix i.e., front end, rear end, clutch and steering. Club will present wage proposal prior to work being done. Kelly will be point of contact.

Car Show update as follows:
• Boy Scouts will be there with their derby.
• Displays will include Nodak and Dakota Cruisers along with motorcycles, snowmobiles and mud trucks.
• If any club would like to do any awards, they are each responsible for coordinating the voting and counting.

Executive Board meetings have been scheduled for Monday, November 29, 2021; December 13, 2021 and January 10, 2022 at 7:00 pm at the Clarion.

The Treasurer’s Report was presented for discussion and review. A motion was made to approve bills presented for payment. Motion carried.

Discussion on gift cards for volunteers was held. Motion made and carried

Postcards for the general meeting scheduled for October 24th have been mailed

Scott Cromwell attended the meeting with regard to putting on a Demolition Derby with the club.
Motion to partner with Scott to put on this event. Motion carried.

The next Executive Board meeting has been scheduled for Sunday, October 24, 2021 at 1:00 pm prior to the General Meeting at 2:00 pm.
